As the old cliche' says: An ounce of prevention is worth a pound of cure

So, here is a checklist of "Best Practices" things you should be doing to manage your data files:

• Limit access to the QuickBooks date file to only those users with a specific need, as determined by job descriptions. Create user profiles and passwords.
• Backup the data file on a daily basis as store those backup in a secure, off-site storage facility. For many users, utilizing QuickBooks Online Backup service is a cost effective means of implementing this practice.
• Ensure that the overall information technology  environment is adequately secured and protected from unauthorized access.
• Install a commerical grade firewall and monitor both in-bound and out-bound traffic.
• Install anti-virus, anti-spyware software and ensure that virus signatures are updated frequently.
• Routinely download and install operating system, desktop application, and QuickBooks updates, security patches and service packs.
• Protect computer hardware with surge protection devices and uninterruptible power supplies to minimize the chances of hardware damage and data file corruption in event of an unstable power supply or lightning strike.
• Periodically run the QuickBooks Verify Data process to ensure that the date file is free of corruption.
• From time to time, utilize QuickBooks Clean Up Company Data process to remove unnecessary transactions from the data file and place them in an archive copy of the company's date file (which of course you should store off site)
